Human Resources Coordinator
Inceed has partnered with a great company to help find a skilled Human Resources Coordinator to join their team! This opportunity is ideal for someone who excels at managing pre-employment processes, ensuring compliance, and maintaining confidentiality. The role involves handling essential administrative tasks such as managing drug and alcohol testing, background checks, and overseeing onboarding procedures. The position offers a chance to work in a collaborative and supportive environment, where attention to detail and strong organizational skills are key to success.
Responsibilities:
• Oversee and manage drug & alcohol testing and background check processes for new hires.
• Order and coordinate necessary pre-employment screenings.
• Maintain real-time records of screening results to ensure accuracy and timeliness.
• Manage the pre-employment screening database and ensure data is up-to-date.
• Communicate with candidates and internal teams via email, phone, and Microsoft Teams.
• Schedule and coordinate travel bookings, and handle expense reports for reimbursement.
• Regularly review and reconcile spreadsheets to ensure accuracy before sending to Accounts Payable.
• Assist with onboarding by sending Hiring Manager checklists and candidate details.
Required Qualifications & Experience:
• Strong attention to detail with the ability to maintain accurate records.
• Proficient in Microsoft Teams, Excel, and other relevant software applications.
• Strong verbal and written communication skills, with the ability to effectively engage with candidates and internal teams.
• Demonstrated ability to manage multiple tasks efficiently in a fast-paced environment.
• Ability to handle confidential information with integrity, adhering to HIPAA and other privacy regulations.
Nice to Have Skills & Experience:
• Previous experience in pre-employment screening, recruiting or HR or a related administrative role.
• Familiarity with Concur or other expense reporting systems.
• Experience in managing or reconciling financial spreadsheets.
