Position: Executive Assistant

Inceed has partnered with a great company to help find a skilled Executive Assistant to join their team! This role offers the opportunity to provide high-level executive support to the CEO, CFO, COO, and VP of Corporate Development, with a mix of administrative, organizational, and HR-related responsibilities. The successful candidate will help manage calendars, coordinate meetings, assist with special projects, and ensure the smooth operation of the office on a daily basis. This is an excellent opportunity for someone who thrives in a dynamic, fast-paced environment and enjoys being a key player in supporting senior leadership.

Responsibilities:

  • Provide comprehensive calendar management for executives, including scheduling meetings, appointments, and travel arrangements.
  • Prepare meeting agendas and take detailed minutes, ensuring follow-up on action items.
  • Organize office logistics for meetings, including catering and room setup.
  • Assist in managing legal documents and ensure proper data storage.
  • Support executives by handling administrative tasks, allowing them to focus on high-level strategic work.
  • Answer phone calls, direct inquiries, and greet visitors in a professional manner.
  • Manage office supplies and equipment, ensuring a well-organized environment.
  • Assist with research and data compilation for various projects and reports.
  • Aid in onboarding new employees, including coordinating training and orientation.
  • Support employee engagement initiatives and help plan company events.
  • Act as backup for payroll processing and assist with HR-related tasks.
  • Help with vendor management, purchasing, and strategic planning efforts.
  • Contribute to the development of PowerPoint presentations for internal and external meetings.

Required Qualifications & Experience:

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills with the ability to manage multiple priorities efficiently.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Nice to Have Skills & Experience:

  • Previous experience in HR or payroll administration.
  • Familiarity with vendor management and procurement processes.
  • Experience creating and managing corporate presentations.
