Position: Administrative Floater
Inceed has partnered with a great company to help find a skilled Administrative Floater to join their team!
The ideal candidate will provide comprehensive supposrt across various legal departments, serving as a backup during both planned and unplanned absences. This person will excel in word processing and multitasking, ensuring smooth operations across multiple transactions or litigation proceedings.
Responsibilities:
- Draft, edit, and proofread legal documents and correspondence.
- Open client files and conduct conflict checks.
- Assist with the monthly billing process by reviewing proformas, preparing client invoices, and coordinating correspondence.
- Enter attorney time using established time entry software.
- Manage phone calls, messages, scheduling, and travel arrangements.
- Process incoming mail, prioritize time-sensitive materials, and coordinate deliveries.
- Reconcile and submit expense reports related to travel and client development.
- Perform additional administrative tasks as needed.
Required Qualifications & Experience:
- Preferred: Bachelor’s degree; Minimum: High school diploma or equivalent with 4+ years of relevant experience.
- 1–2 years of experience in a professional services or legal environment is preferred.
- Proficiency in Microsoft Word, Outlook, and PDF editing software; Excel knowledge is a plus.
- Excellent grammar, proofreading, and organizational skills, with the ability to meet deadlines.
- Strong interpersonal and communication skills to effectively collaborate across teams.
- Reliable, proactive, and professional with strong attention to detail.
- Ability to work in-office from 8:30 AM to 5:30 PM, with flexibility for additional hours as needed.
