Position: Project Administrator
Compensation: $42,000 – $45,000 annually, depending on experience
Location: Tulsa, Oklahoma
Inceed has partnered with a great company to help find a skilled Project Administrator to join their team!
This is a strong opportunity for someone who thrives in a fast-paced project environment and enjoys being the organized force that keeps everything moving. In this role, you’ll support project managers and technical teams by managing documentation, tracking deliverables, coordinating meetings, and helping ensure project information stays accurate, current, and easy to access. If you’re detail-oriented, highly organized, and ready to make a meaningful impact behind the scenes, this role offers a great next step.
Key Responsibilities & Duties:
- Maintain project tracking logs, lists, and databases
- Organize and manage project files and records
- Support project setup, closeout, and document retention
- Track deliverables, deadlines, and milestone dates
- Prepare reports, status summaries, and documentation packages
- Coordinate document reviews, approvals, and transmittals
- Schedule meetings and record minutes and action items
- Assist project teams with daily administrative support
- Identify record discrepancies and help resolve issues
- Process expense reports and support general office needs
Required Qualifications & Experience:
- Bachelor’s degree in Business Administration, Management, or related field
- 2–5 years of project coordination or project administration experience
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Proficiency with MS Office suite
- Experience working in a professional, deadline-driven environment
- Ability to create accurate, polished, professional documents
Nice to Have Skills & Experience:
- Experience with Primavera P6
- Experience with Procore
- Experience with Bluebeam
- Experience with MS Project
- Construction or project management industry exposure
- Familiarity with document control processes
- Experience coordinating internal and external stakeholders
